How do I issue receipts from Shopify? The short answer
With an app that issues the receipt from inside Shopify and transmits it to myDATA, with no second program and no typing orders in by hand.
You install Timologio from the Shopify App Store, where you will find it as “Timologio: myDATA Invoices”, and switch on «Αποδείξεις λιανικής» (Retail receipts). From then on, every order without an AFM issues a retail sales receipt with a MARK, UID and QR from myDATA, through a certified e-invoicing provider. It is issued when the parcel leaves, with the transport details on it, and reaches the customer by email if you switch that on. Orders with an AFM get an invoice from the same app.
Setup happens once and takes about half an hour. After that every order issues its own document, with a MARK from myDATA, and you do nothing per order. The steps, one by one, are on the Setup page. The app's screens are in Greek; receipts and emails can go out in Greek or English.
The receipt is issued when the order ships
Every order without an AFM issues a retail receipt with a MARK the moment you ship it. Not when the order comes in, but when the parcel leaves, as the rule on transporting goods asks.
If nothing ships, a digital product or a service, the receipt is issued with the order. And if the order is cancelled before it leaves, nothing is issued and no document comes out of your package.
If the order changes before issuing, the receipt carries the current items and the current total, not what was in the order at first.
What a retail receipt from a Shopify order looks like
Prices with VAT included, no customer details, the transport details and the codes myDATA returns. Shown here in Greek; it can go out in English too. The four numbers say what each part is.
- Its own numbering seriesRetail receipts have a series of their own, separate from invoices and credit notes. You set it once, with your accountant.
- The transport detailsPurpose, method and start of the shipment, on the same receipt, when you ship by courier.
- MARK and UIDmyDATA returns them at the moment of issuing. Without a MARK a receipt has not been transmitted.
- The QR codeIt leads to the receipt's verification, for the customer and for any inspection.
Same order, same total as an invoice: the receipt shows prices with VAT and needs no customer details at all. The store, the codes and the amounts are examples.
The delivery note, on the receipt itself
If you ship your orders by courier, the retail exemption from transport documents does not cover you. Timologio adds the transport details to the receipt it is already issuing. One document, one MARK, one charge from your package, and no new numbering series to agree with your accountant.
A separate delivery note does not help here: myDATA asks for the recipient's AFM on it, which a consumer does not have. That is why, for parcels to consumers, the details go on the receipt.
It needs a complete delivery address. If something is missing, the receipt is not issued and you fix it from «Εκκρεμότητες» (Pending). Why shipping by courier changes things.
The receipt goes to the customer on its own
If you switch it on, the customer receives the document by email as soon as it is issued, with the PDF attached. The sender shown is your store's company name. Sending it costs no extra document.
The receipt and the email go out in Greek or English: you choose, or it follows the language the customer picked at checkout. You get a copy of every send.
Hello,
Please find attached your receipt ΑΛΠ 004567 for your purchase from Κατάστημα Δείγμα.
It has been transmitted electronically to the Greek tax authority (AADE) through myDATA.
Issued and sent with Timologio for Shopify: timologio.app
Here the provider adds its own line and its logo.
When the customer returns something
An issued receipt is never deleted. If you refund the whole order in Shopify, the retail credit note is issued on its own. On a partial return the app prepares the credit note with the items that came back, you check it and issue it with one click, from the list or from the order itself. Every credit note uses one document from your package, like any issue.
A receipt went out and the customer asked for an invoice? «Αλλαγή σε τιμολόγιο» (Change to invoice) does it properly, with a retail credit note for the whole receipt and right after it an invoice for the same order. If the receipt has not been issued yet, because the order has not shipped, adding the AFM with «Διόρθωση στοιχείων» (Edit details) is enough, at no cost.
Consumers in other countries
The receipt goes out the way myDATA wants it for the customer's country, from the same series, with one MARK, like any receipt.
In Greece
The receipt carries each product's VAT, as Shopify calculated it or as you declared it in the app, when Shopify sends none of its own.
In the EU, with OSS
For consumers in the EU, if you are in the OSS scheme, the receipt goes out with 0% Greek VAT and the customer's country VAT on its own line, as Shopify charged it. How the OSS receipt is issued.
Outside the EU
For customers outside the EU the receipt goes out as an export, at 0% with your accountant's exemption code.
What you need to start
The Max plan
Retail receipts are in Max, together with everything Pro does for invoices. The subscription sets no document limit of ours. See the pricing.
A numbering series of their own
The app's setup guide asks you for the series and the starting number for receipts. It is the one point where you will ask your accountant.
The right VAT
If your Shopify sends no VAT, you declare the rate you apply in the app. If a product has a different rate, you correct it line by line before issuing.
One system for retail
If you already issue receipts from a cash register or through your accountant, talk to them first: the same sale must not be declared twice.
The three switches as you see them in the app's settings, in Greek: «Αποδείξεις λιανικής» (Retail receipts), «Δελτίο αποστολής» (Delivery note) and «Αποστολή στον πελάτη» (Send to the customer). All start off, and you switch them on. Setup happens once and takes about half an hour: the steps.
Questions about retail receipts from Shopify
How do I issue receipts from Shopify?
With an app that issues the receipt from inside Shopify. With Timologio you switch on «Αποδείξεις λιανικής» (Retail receipts), and from then on every order without an AFM issues its own retail receipt with a MARK and QR from myDATA when the parcel leaves. Setup is done once and takes about half an hour.
Which Shopify app issues retail receipts to myDATA?
Timologio, which you will find on the Shopify App Store as “Timologio: myDATA Invoices”. It issues retail receipts with a MARK, UID and QR for orders without an AFM and invoices for orders with one, through a certified e-invoicing provider, with the transport details on the same document.
When exactly is the receipt issued?
When you ship the order, that is, when the parcel leaves. If the order has nothing to ship, like a digital product or a service, it is issued with the order. If the order is cancelled before it leaves, nothing is issued.
How much do retail receipts cost?
They are in the Max plan, $19.99 a month through Shopify, with a 14-day free trial, and the subscription sets no document limit of ours. The documents themselves come from the provider's yearly package, which you pay separately, directly to the provider. One receipt for every order uses noticeably more of it, which is why the app shows you the number before you switch it on.
I already issue receipts from a cash register. Can I issue them from here instead?
Yes, but not from both. If you switch on retail receipts in Timologio, the same online sale must not also be issued from the cash register or by your accountant, or it is declared twice in myDATA. Agree it with your accountant first. Timologio issues for the orders of your Shopify online store, not for sales at a counter.
What happens when a customer returns something?
On a full refund in Shopify, the retail credit note is issued on its own. On a partial refund the app prepares it with the returned items and you issue it with one click. A receipt is never deleted: the correction is always a credit note.
The customer asked for an invoice after the receipt was issued. What do I do?
Press «Αλλαγή σε τιμολόγιο» (Change to invoice) on the order and type the customer's AFM. The app issues a retail credit note for the whole receipt and right after it an invoice for the same order, with the same amounts, using two documents from your package. If the receipt has not been issued yet, add the AFM with «Διόρθωση στοιχείων» (Edit details), at no cost.
Can the receipt be issued in English for customers abroad?
Yes. The receipt and the email go out in Greek or English: you choose, or it follows the language the customer picked at checkout. The app's screens are in Greek.
More questions are answered on the home page and in the myDATA guide.
