Timologio for Shopify
Setup guide

Half an hour at the start, then it runs on its own

Setup happens once and takes about half an hour. From then on, every order issues its own document, with a MARK from myDATA, and you do nothing per order.

From the first minute, your cart collects and validates the AFM, the Greek tax number. To issue official documents, you connect your provider account once, and that's all. If you'd like the bigger picture first, what myDATA asks of an online store and which ways there are to connect to it, read the guide to connecting Shopify to myDATA.

The steps, in the order you do them

Six short steps. Five of them take a few minutes each. The other one, signing up with the provider, is most of the half hour.

Install from the Shopify App Store

The app installs in your store like any Shopify app, in two minutes. No code is needed, and your theme stays as it is.

Add the block to your cart page

From the theme editor, with no code, you add the Timologio block to your cart page. That is where the customer says they want an invoice and types their AFM. If you prefer, we add it for you and match it to your theme.

For us to add it, all we need is collaborator access to your store. There is no charge, and we do it the same day you write to us.

Fill in your business details

You enter your company name, AFM, registered address and the VAT rate you apply. If Shopify doesn't send VAT with your orders, this is where you set the rate that applies, so your documents issue correctly.

Connect the provider

Timologio issues through a certified e-invoicing provider, with an account in your business's name. The provider's sign-up opens from the app in a new tab: you sign the contract digitally, choose a package and pay. This is most of the half hour.

The account and the contract are in your business's name, not ours. That way the documents are legally issued under your AFM. The package is yearly and paid directly to the provider. You see which one covers you inside the app, with the documents each one includes.

Set the numbering series with your accountant

Each document type has its own series and its own starting number. One question to your accountant covers it, and the app's setup wizard shows you exactly what to ask.

Switch on what you want issued

Invoices for customers with an AFM, retail receipts for everyone else, transport details on the orders you ship, the document emailed to the customer. Before each switch goes on, you see what it means and how many documents a month it adds, based on your real orders. Nothing is issued until you confirm it.

Emailing the document does not use up an extra document. Good to know: you also get a copy of every email that goes out, so if you issue a lot of retail receipts, you will see just as many copies in your inbox.
An official document cannot be cancelled once issued; it is corrected with a credit note. That is why nothing is issued until you switch it on, and a plan upgrade never turns on a new document type by itself.

What to have ready

With these at hand, setup is done in one sitting. Print the list or send it to your accountant.

The checkmarks are not saved. Print the page, or save it as a PDF and send it to your accountant.

After setup

There is nothing to do per order. The customer types their AFM in the cart, or types nothing, and Timologio issues the right document at the right moment: an invoice or a receipt, with MARK and QR from myDATA, with the transport details on it and an email to the customer, if you have switched those on. On full refunds the credit note issues by itself. You see inside the app how many documents your package has left.

What you might need later, and rarely: a new VAT rate, a bigger package with the provider, one more document type. All of it is done in the settings, in a few minutes. And anything that needs your own eye, like the credit note for a partial refund, waits for you inside the app, ready to issue with one click.

Good to know

Before you switch issuing on

What if I already issue documents from a cash register or through my accountant?

Then don't switch on the same document types in Timologio as well, because the same sale would be reported to myDATA twice. Agree with your accountant first on what is issued from where. You can use Timologio only for invoices, only for retail, or for everything.

How long does setup take?

About half an hour, once. Installing from the App Store takes two minutes, most of the time goes on the provider's sign-up form, and you add the cart block from the theme editor, or we add it for you. From then on you do nothing per order.

What happens if something goes wrong when a document is issued?

The order is not left hanging. Documents that run into a problem are gathered in a list inside the app, with the reason they failed, and you retry from there once the cause is fixed. There are no automatic retries, because every attempt to issue costs a document from your package.

Do I need my TAXISnet or myDATA credentials?

Only once, when you sign up with the provider: your business's TAXISnet login details, because the declaration that links your business to the provider is filed with AADE. You type them into the provider's form, not into Timologio, and you don't need them again.
